# Databricks Isn't Just for Big Companies

“Isn't Databricks only for big companies?”

I hear this a lot. Databricks is powerful, the thinking goes, but it's expensive, and a small business or non-profit has no business going near it.

I understand why people think that. Databricks charges for what you use. Leave a cluster running all weekend, point an oversized machine at a small job, or let every analyst start their own compute, and the bill will surprise you.

But that's true of anything you pay for by usage: electricity, fuel, mobile data, cloud storage. **Pay-per-use isn't the problem. Not planning is.**

Pay-per-use also works in your favour. There's no big licence fee up front and no server sitting idle in a cupboard. Design the workload properly and you pay only for the minutes you actually need.

## What careful design looks like

None of the following is exotic. It's simply good architecture.

- **Right-size the compute.** Most workloads in smaller organisations don't need big clusters. Start small and scale only when the data demands it.
- **Use scheduled jobs and serverless, not always-on clusters.** Scheduled pipelines start up, do the work and shut down. You're billed while the work runs, not while people sleep.
- **Set auto-termination and cluster policies from day one.** These guardrails stop the “someone forgot to switch it off” invoice before it happens.
- **Run as often as the business needs.** If the report is monthly, the pipeline doesn't need to run every five minutes.
- **Process incrementally.** Handle only new or changed data, not the whole history every time.
- **Track the spend.** Budgets and usage dashboards make cost something you see as you go, not something you discover at month-end.

Get these right and Databricks pays for itself instead of draining your resources.

## A real example: reporting for a non-profit

At VMG Labs we're currently building a Databricks solution for a non-profit organisation. Not a multinational, not a bank: a small team doing important work in its community.

### The problem

Like many NPOs, this organisation spends a lot of its time on reporting. Each funder and stakeholder wants its own report, in its own format, on its own schedule.

The underlying information is largely the same: finances, programmes, beneficiaries and outcomes. But it lives in spreadsheets, documents and financial statements, and it's gathered, reconciled and reshaped by hand every reporting cycle.

That's hours of skilled people's time spent copying and pasting instead of serving the mission. It's also the kind of work where mistakes creep in.

### Why Databricks

We chose Databricks for this project precisely because it saves time and money:

- **One trusted source.** The data is brought together and cleaned once.
- **Consistent reports.** Every funder's report is generated from that same source, so the numbers agree every time.
- **Minimal compute.** Pipelines run only when reports are due, so compute cost is measured in minutes, not hours.
- **Repeatable design.** The same pattern can serve other organisations with similar reporting needs, spreading the build effort even further.

The cost of the platform is small next to the staff time it gives back. The investment is justified by the waste it removes, not by the size of the organisation.

## The takeaway

Databricks isn't a “big company” tool. It's a tool that rewards good design.

Plan the architecture around how the organisation actually works, and a small team gets the same automation, reliability and governance that large enterprises pay for, at a cost that fits its budget.

**Written Databricks off as “too expensive” for your business or NPO?** [Get in touch with VMG Labs](https://vmglabs.com/contact) and we'll talk it through. The answer might surprise you.
